Job Summary

The Operations Coordinator for Digital Communications serves as the Operations in-house expert for all Foundation digital communications strategies. This position represents the Operations team in the development and execution of the Foundations’ multiple digital fundraising tactics, including but not limited to online giving, digital fundraising and email communications, and is especially responsible for the proper management of digital lists and processing of related gifts. The Operations Coordinator will work closely with the Foundation’s fundraising teams and Corporate Communications to help ensure the timely, effective and appropriate use of communications technologies, with a special emphasis on tracking and analyzing data and key metrics to ensure constant improvement. The candidate will be expected to maintain a command of Blackbaud products and effective knowledge of other systems and related media that might serve to further the Foundation’s goals. The Coordinator must be a strategic thinker and a team player with the ability to use data and analytics to continuously improve our digital presence.

This position requires a high degree of collaboration and interaction with other Foundation staff, related Corporate Communications staff, colleagues, third party vendors and donors. Must be self-motivated and thrive in a team-oriented environment where work is fast-paced and requirements change frequently. Due to current guidelines, candidate must also be able to work independently and remotely with clients and staff while keeping all lines of communication open.


Job Duties and Responsibilities

The Operations Coordinator for Digital Communications is responsible for management of all digital resources (various technology-based software’s) and maintaining the expertise of upgrades and/or new technology as it becomes available. With this expertise, the Coordinator will represent Operations with key staff in strategizing all digital goals, bringing this knowledge to the table with best practice tactics within the categories of eCommunications, eFundraising, Mobile Fundraising, Electronic Auction/Event Management, and other technology as available, appropriate or required. The position will be responsible for implementation, tracking & analyzation, reporting, maintenance of digital donations, and other responsibilities resulting from digital fundraising and communication campaigns and activities. This position will manage all digital lists, an online communications calendar, and multiple project timelines for email and digital fundraising campaigns and activities. Responsibilities include but are not limited to;


  • Maintain accuracy and integrity of all Foundation data across all platforms with proper gift processing procedures for all digital/mobile donation entry
  • Manage and maintain the organization’s digital lists ensuring accuracy across all platforms; using lists to implement team strategies and goals and managing deployment of digital communications, including but not limited to segmentation, A/B testing, targeted groups, automated welcome series and regularly updated auto responders
  • Routinely track and report analytics on key performance indicators, regularly identifying new and innovative ways to broaden and advance the technology and resources available for digital communications and provide insights to increase performance in the future
  • Management of ongoing and annual peer-to-peer campaigns including troubleshooting with participants, overseeing the peer-to-peer platform, equip donors and staff with optimal tools and optimizing the platform’s usage
  • Build and maintain event, conference and other online registration, donation, survey pages as appropriate, reporting all information of donations, attendees, and other lists as requested
  • Manage Foundation mobile giving programs, including but not limited to Blackbaud Mobile Pay mobile device card readers and Snowball Text2Give text donation software
  • Manage AuctionMaestroPro auction software, including but not limited to pre-event preparation in the software, oversee day-of registrations of attendees, ensure proper financial transactions, and post-event close out
  • Ensure all digital platform’s / software’s are continuously updated with the most current ability for mobile responsiveness of applications
  • Create and adhere to a monthly digital calendar, sharable and usable by all Foundation staff for digital communication and fundraising schedules
  • Continuously identifying, evaluating and presenting new opportunities for online, peer-to-peer, mobile, digital event and DIY fundraising to fundraisers, with continuing education on best practices as technology evolves
  • Serve as an active member of the Operations team, contributing to goal setting, revenue management and reporting, and the refinement of processes and procedures
  • Works closely with Manager in development and implementation of policies and procedures for continuous improvement in Operations and assists with various requests by Foundation staff.


  • Bachelors Degree preferred in related field


  • 1-3 years of experience in Development required
  • 1-3 years of experience in Development Operations platform(s) /software(s) required
  • Digital communication background preferred

Knowledge, Skills and Abilities

  • Proficient in content management systems such as Luminate Online
  • Proficient in Blackbaud products
  • Knowledge of communication and fundraising on digital platforms
  • Some knowledge of web/graphic design, including HTML
  • Proficient in Microsoft Office
  • Highly organized, thorough and detail-oriented
  • Ability to proactively recognize needs, balance multiple projects, manage daily workload, and prioritize tasks
  • Enjoys behind-the-scenes work in support of a great cause
  • Ability to multi-task and manage several projects at once
  • Ability to work independently
  • Excellent oral and written communication skills
  • Must be able to work flexible hours. Some evenings and weekends and occasional travel
